Describe the Capabilities of Viva Insights

In the quest for improved productivity, enhanced collaboration, and increased employee engagement, organizational leaders, managers, and individuals alike often seek to identify emerging trends within their larger companies, business units, departments, and teams. Viva Insights harnesses the capabilities of Microsoft Teams and advanced analytics tools to uncover these trends, with the ultimate goal of enhancing productivity and well-being for all members of the organization.

Viva Insights offers three primary user profiles, each of which aligns with specific categories of insights. These profiles include individuals, managers, and business leaders, and the corresponding insights they receive are categorized as follows:

  • Personal insights: These insights focus on personal productivity and well-being, providing valuable information and recommendations to help individuals enhance their work habits and overall effectiveness.
  • Teamwork habits: This category of insights delves into the collaborative dynamics within teams, offering actionable data and suggestions to improve teamwork and communication among team members.
  • Organizational trends: Organizational leaders gain access to insights that span the broader company landscape, highlighting trends and patterns that can inform strategic decisions and initiatives at the organizational level.

Now, let’s delve into each of these insight categories to gain a deeper understanding of their respective functionalities and benefits.

Personal Insights

At the individual level, Viva Insights offers personal insights designed to help individuals gain a deeper understanding of their work habits and productivity. Viva Insights collects data related to your daily work routines, which includes factors such as time spent in meetings, pending tasks, and email interactions. Subsequently, it provides valuable suggestions and recommendations to assist you in planning your upcoming workday, encompassing tasks, meetings, and email management.

For instance, Viva Insights autonomously arranges focus time slots based on your calendar availability. Focus time serves as designated periods within your day, typically lasting an hour or two, where you can concentrate on catching up with emails and tasks. It’s crucial to note that, from a privacy standpoint, this data remains exclusively accessible to the individual and remains inaccessible to both managers and any other parties. Your data remains confidential and is not shared with anyone else.

Personal Insights Privacy

Viva Insights collects information from activities users perform in Microsoft 365 apps and services. Viva Insights is compliant with the European Union’s General Data Protection Regulation (GDPR). This data is then delivered via Outlook through a feature calledbriefing emails, as well as in Teams through the personal insights dashboard. The dashboard, shown in Figure 6.1, provides suggestions on how to get the most out of your workday:

Since Viva Insights is deployed as a Teams app, IT administrators can pin it to the users’ left rail for accessibility.

Personal insights give you recommendations on how to get the most done in large blocks of time by scheduling focus time. It encourages you to send praise to your colleagues and keep track of your well- being. You can take advantage of the curated playlist of meditation tracks that are embedded right into the Viva Insights interface.
